Interview Thank-You Email (2026): Samples and When to Send
Updated 4 November 20265 min readBy the KaziMatch careers team
Send a short thank-you email within 24 hours of your interview. Thank the interviewer by name, mention one specific thing you discussed, restate your interest and fit in one sentence, and close politely. Keep it under 150 words.
It takes five minutes and helps you stand out, because many candidates never send one.
Why send a thank-you email?
- It shows professionalism and genuine interest.
- It reminds the interviewer of you when they compare candidates.
- It lets you add one point you forgot or clarify an answer briefly.
It will not rescue a weak interview, but it can help in a close decision.
When to send it
- Within 24 hours, ideally the same day.
- To the person who invited you or who led the interview, or each interviewer if you have their emails.
- For public service panels, where you may not have individual emails, a short note to the official contact address is optional. Follow the institution's instructions on communication.
The structure
- Subject line: Thank you – [Job title] interview
- Greeting: Dear [Name or title],
- Thank you: for the time and the conversation.
- One specific point: something you discussed.
- Fit and interest: one sentence linking your strength to their need.
- Close: you look forward to hearing about next steps.
- Sign-off: your name and phone number.

After a first interview
Subject: Thank you – Accountant interview
Dear Ms [Surname],
Thank you for meeting me today to discuss the Accountant role. I enjoyed hearing about your plans to move the month-end close onto the new ERP system.
My experience standardising reconciliation templates would help make that transition smoother, and I am excited about the opportunity to contribute.
I look forward to hearing about the next steps.
Kind regards,
[Your Name]

After a panel interview
Subject: Thank you – Project Officer interview
Dear [Hiring Manager or Panel Chair],
Thank you to you and the panel for the opportunity to interview for the Project Officer position today. I appreciated the discussion on strengthening partner reporting.
I remain very interested in the role and confident that my experience coordinating local partners and donor reports would add value to the team.
Kind regards,

After a second interview
Subject: Thank you – Second interview, Sales Supervisor
Dear Mr [Surname],
Thank you for the second conversation today and for introducing me to the regional team. Seeing the route plans for the new territory made the role even clearer to me.
I am keen to help the team grow those accounts and would welcome the chance to join you.
Kind regards,
[Your Name]

Adding a point you forgot
If you forgot something important, add one sentence:
I also wanted to mention that I have used the same ticketing system at my current employer, which I did not get a chance to bring up.
Do not use the email to rewrite your whole interview.
Mistakes to avoid
- Sending it days later. The impact fades fast.
- Long emails. Keep it short and specific.
- Copy-paste errors, like the wrong company name or job title.
- Pushing for a decision. "When will you decide?" in a thank-you email feels pushy.
- Sending attachments nobody asked for.
Following up later
If the employer gave a decision date and it passes, a polite follow-up after about a week is fine:
Dear [Name], I hope you are well. I wanted to follow up on the [Job title] position I interviewed for on [date]. I remain very interested and would appreciate any update on the timeline. Kind regards, [Your Name]
