Cover Letter Sample for Kenya (2026): Format and 2 Full Examples
Updated 4 November 20267 min readBy the KaziMatch careers team
A good cover letter for a Kenyan job is one page with four short parts: why you are writing, why you fit the role, why you want this employer, and a polite close asking for an interview. It should be written for that specific job, not copied from your last application.
Below is the structure, then two full samples you can adapt.
Cover letter structure
- Your contact details – name, phone, email, town.
- Date.
- Employer details – the hiring manager's name if known, title, organisation, address or P.O. Box.
- Salutation – "Dear Ms Achieng," or "Dear Hiring Manager," if you do not know the name.
- Subject line – "RE: Application for the Position of Finance Officer (Ref: FO/2026/04)".
- Opening paragraph – the role, where you saw it, and a one-line reason you fit.
- Middle paragraph or two – two or three achievements that match the advert's main requirements.
- Why this employer – one or two lines showing you know what they do.
- Closing – availability for an interview and thanks.
- Sign-off – "Yours sincerely," if you used their name; "Yours faithfully," if you used "Dear Sir/Madam".
Cover letter or application letter?
In Kenya the two terms are often used for the same thing. Some employers, especially government and counties, expect a more formal "application letter". Read our guide to the application letter for a job vacancy for that style.
Writing tips
- One page, three to five paragraphs. Recruiters skim.
- Match the advert. Pick the two or three requirements that matter most and prove each with an example.
- Do not repeat your CV. Pick highlights and add context.
- Use the reference number if the advert gives one.
- Avoid clichés like "I am a hardworking, honest and God-fearing person". Show qualities through results.
- Never mention salary unless the advert asks for expectations. See salary negotiation in Kenya.

The Hiring Manager [Company Name] P.O. Box [number], Nairobi
Dear Hiring Manager,
RE: Application for the Position of Sales Executive – Nairobi Region
I am writing to apply for the Sales Executive role advertised on your careers page. With four years of experience selling consumer goods to retail and wholesale outlets in Nairobi, I am confident I can help your team grow market share in the region.
In my current role, I manage a route of 120 outlets across Nairobi and Kiambu. Last year I finished at 118% of my annual target and opened 45 new accounts in a territory the company had just entered. I also keep collections tight: my bad-debt rate has stayed under 2% while I collect over KES 3 million a month.
Your advert asks for someone who can build relationships with modern trade buyers. I currently handle orders and promotions with three supermarket chains, and I coordinate merchandising with their branch managers every week.
I admire how your brand has grown in the snacks category, and I would be excited to help take it into new outlets.
I have attached my CV for your consideration. I would welcome the chance to discuss how I can contribute to your sales team. I am available for an interview at your convenience.
Yours faithfully,
Grace Mumbi

The Human Resources Manager [Organisation Name] P.O. Box [number], Kisumu
Dear Ms Wambui,
RE: Application for Programme Officer – Livelihoods (Ref: PO-LIV-2026)
I am pleased to apply for the Programme Officer – Livelihoods position in Kisumu. I have five years of experience designing and running community livelihood projects in western Kenya, and I share your commitment to helping smallholder farmers build stable incomes.
At my current organisation, I coordinate a project working with 1,200 farmers in 40 self-help groups across Kisumu and Siaya counties. I led the roll-out of village savings and loans groups that now hold combined savings of over KES 4 million. I also manage relationships with county agriculture officers and two private buyers, which helped farmers sell produce at better prices.
Your advert asks for strong monitoring, evaluation and reporting skills. I prepare quarterly donor reports, maintain the project's results framework, and have trained field staff to collect data on mobile tools. I am comfortable with Excel and KoboToolbox and have supported two mid-term evaluations.
I have followed your work on climate-smart agriculture around Lake Victoria, and I would value the chance to contribute to its next phase.
Please find my CV attached. I am available for an interview at any time and can be reached on the number above.
Yours sincerely,
David Otieno
How to make your letter stand out
- Open strong. Your first line should say the role and why you fit, not "I hereby wish to apply".
- Use numbers. Farmers reached, sales grown, students taught, money saved.
- Mirror the advert's language where it honestly describes your work. This helps both the recruiter and any applicant tracking system.
- Send as PDF unless told otherwise, or paste it into the email body if the advert says so.

Frequently asked questions
- How long should a cover letter be in Kenya?
- One page, usually three to five short paragraphs. Recruiters skim, so keep each paragraph focused on one point.
- Should I use 'Yours faithfully' or 'Yours sincerely'?
- Use 'Yours sincerely' when you address the reader by name, and 'Yours faithfully' when you write 'Dear Sir/Madam' or 'Dear Hiring Manager'.
- Is a cover letter the same as an application letter?
- In Kenya the terms are often used interchangeably. Government and county employers usually expect a more formal application letter that quotes the job reference number.
- Should I mention salary in my cover letter?
- Only if the advert asks you to state your salary expectations. Otherwise leave it for the interview.
