Paperwork still decides shortlists
Public bodies and many institutions in Kenya still rely on formal paperwork. A strong candidate can be dropped for a missing signature or an uncertified copy. The good news is that these rules are learnable. Getting them right gives you an edge.
Prescribed application forms
Many public bodies ask for their own form, sometimes instead of a CV. Follow these principles:
- Use the current version from the body's website or offices.
- Fill every field. Write "N/A" where something does not apply.
- Match your certificates exactly. Titles, dates and institution names must agree across form, CV and certificates.
- Sign every declaration. An unsigned form is incomplete.
- Prepare your text in advance if the portal may not save drafts.
Certified copies
A certified copy is a photocopy stamped and signed as a true copy of the original. The notice usually says who may certify. Common options include a commissioner for oaths or an advocate. Take your originals so the certifier can compare.
Build a certified set now, before you need it. Include your ID and all academic and professional certificates.
Testimonials
A testimonial is a letter from a former employer confirming your role, dates and conduct. It is different from a reference, which is given for a specific application.
Ask for a testimonial when you leave a job on good terms. Two years later, the person who knew your work may have moved on.
Foreign qualifications
If any of your qualifications are from outside Kenya, find out early whether they need recognition by the relevant Kenyan authority. This process can take time.
Before you submit
Lay out every document. Tick each item against the notice. A single missing document is one of the most common reasons qualified applicants are not shortlisted.
Start today
Find your certificates and check that names and dates match across all of them. Note anything that needs certifying, and book time with a certifier.
